Privacy Policy

HERE Realty CRM (the “CRM”) is a private customer-relationship tool operated by HERE REALTY GROUP, LLC (“HERE Realty”, “we”) for real estate agents affiliated with our brokerage. This policy explains what information the CRM handles and how.

Who uses the CRM

Only agents and staff invited by HERE Realty can sign in. The public can reach only an agent’s contact form.

Information we handle

• Agent accounts: name, email, phone, photo and settings each agent provides.
• Contacts: names, phone numbers, emails, addresses, notes and history that an agent enters, imports or receives through a contact form.
• Connected messaging: when an agent chooses to connect an account (Gmail, iMessage, or a WhatsApp Business number), the CRM stores the messages exchanged between that agent and their contacts, with dates and phone numbers or email addresses, so the agent can see the conversation on the contact’s record. WhatsApp group chats are not collected.
• Technical data: sign-in records and error logs needed to keep the service working and secure.

How we use it

• To show each agent their own contacts, conversations, to-dos and reminders.
• To create a new lead record when someone new contacts an agent.
• To offer optional writing suggestions to the agent. Suggestions are produced by an AI service on the agent’s request and are never sent without the agent’s approval.

We do not sell personal information, use it for advertising, or share it with other agents. Each agent sees only their own records.

Service providers

We use trusted providers to run the CRM: Supabase (database), Vercel (hosting), Google (Gmail, for agents who connect it), Meta (WhatsApp Business Platform, for agents who connect it) and Anthropic (AI writing suggestions). They process data only to provide their service to us.

Retention and deletion

Records are kept while the agent uses the CRM. An agent can disconnect a messaging account at any time, which stops new messages from being collected. To have your information deleted, see Data deletion or email jamesluth@gmail.com. We complete verified requests within 30 days.

Security

Data is encrypted in transit, access is limited per agent by database rules, and connected-account tokens are stored server-side only.
